Privacy Policy

Effective 22 July 2026 · Aardvarks (“Aardvark,” “we,” “us”)

This policy explains what data Aardvark accesses when you connect an accounting service such as QuickBooks Online, how we use and protect it, and the choices you have. Aardvark is a bookkeeping-automation service: it reads your accounting data, prepares month-end close work, and presents proposed changes for your review. It never changes your accounting records on its own.

1. Who we are

2. The data we access

When you connect QuickBooks Online, you authorize Aardvark to read your accounting data through Intuit’s official API. Depending on the features you use, this includes:

• company profile information (company name, the QuickBooks company/realm identifier);
• your chart of accounts (account names, types, and classifications);
• transactions in the period you are working on (purchases, deposits, transfers, and their amounts, dates, descriptions, and counterparties).

Aardvark does not create, modify, or delete anything in your QuickBooks account. Access is read-only, enforced by the design of our software — Aardvark has no capability to write to your accounting service. If we later introduce a feature that writes changes back (for example, posting an approved journal entry), it will require a separate, explicit authorization from you, and every individual change will be shown to you and applied only after you approve it.

3. How we use your data

• To provide the service: categorizing transactions, reconciling accounts, and preparing the month-end close and its supporting workpapers.
• To present proposed changes for your review. A human approval step is a core part of the product — nothing is treated as final without your explicit confirmation.
• To operate, secure, debug, and improve the service.

We do not sell your data, and we do not use it for advertising.

4. AI processing

Aardvark uses Anthropic’s Claude API to process your accounting data and prepare bookkeeping work. Data sent to the Anthropic API is not used to train models. We send only the data needed for the task at hand.

5. How we store and protect it

• Encryption in transit and at rest. Connection tokens are encrypted before they are stored, using a key held outside the database.
• Per-customer isolation. Each customer’s data is isolated at the database layer so one customer can never read another’s.
• Least-privilege access. We request the narrowest access the feature needs and never request the ability to send email, share files, or perform actions beyond what is described here.

6. Who else processes your data (subprocessors)

We rely on a small number of service providers to run Aardvark. Our current subprocessors are:

• Intuit — the source of your QuickBooks data (via your authorization).
• Anthropic — AI processing, as described in section 4.
• Supabase — database and authentication.
• Fly.io — application hosting.

7. Retention and deletion

You can disconnect QuickBooks at any time from within Aardvark. Disconnecting revokes our access and deletes the stored connection. You may request deletion of your account and associated data by contacting us at the address in section 1; we will delete it except where we are required to retain records by law.

8. Your choices and rights

You control which services you connect and can revoke any connection at any time. Depending on where you live, you may have rights to access, correct, or delete your personal data, or to object to certain processing. Contact us to exercise these rights.

9. Children

Aardvark is a business tool and is not directed to children. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this policy from time to time. We will post the updated version here and revise the effective date above. Material changes will be communicated to connected customers.
